    Yes, we have packages for smaller events (Willow Package) and non profit fundraisers (Walnut Package).

  • What types of events do you host?

    White Oak 1838 hosts a wide range of events including weddings, elopements, vow renewals, micro weddings, anniversaries, engagements, reunions, showers, fundraisers, holiday parties, corporate meetings, community events and more.

  • Do you offer indoor and outdoor ceremony sites?

    Yes, White Oak 1838 offers both indoor and outdoor ceremony locations to accommodate your vision and preferences, rain or shine. In the case of inclement weather, your ceremony will be moved indoors or to a tent provided by the renter.

  • What are the venue's hours of operation?

    Hours vary depending on the event. We respond to all inquiries the same day and schedule tours upon request.

  • Do you provide tours?

  • How many people can your venue accommodate?

    White Oak 1838 accommodates up to 299 guests for both ceremonies and receptions.

  • Is your venue ADA accessible?

    Yes, our entire facility is ADA compliant and accessible to all guests.

  • Do you offer parking?

    Yes, the venue provides 130 paved parking spaces for guests. We also provide designated ADA-accessible parking spaces.

  • Are there bride and groom dressing rooms available?

    Yes, our venue offers spacious, secure-access bride and groom suites featuring private restrooms and individual dressing areas.

  • What amenities are available for guests?

    Amenities include 130 paved parking spaces, ADA-accessible areas, restrooms, HVAC, coat check, indoor/outdoor bar, courtyard, and in-law suite.

  • Are there accommodations for out-of-town guests?

    We partner with local hotels and Airbnbs to accommodate our guests.

  • What is your policy on alcohol?

    White Oak 1838 holds a West Virginia State Liquor License. In accordance with state regulations, all alcohol must be purchased through our venue. Outside alcohol is not permitted on the property.

  • Is insurance required?

    Yes, event insurance is required. Our management team is happy to assist you in obtaining the necessary coverage.

  • Are there restrictions on décor or vendors?

    Yes. No open flames, smoke machines, sparklers, glitter, confetti, or adhesives. All vendors must be licensed, insured, and approved by management.

  • Is security mandatory?

    Security is required for all events with over 150 guests to ensure a safe and enjoyable experience.

  • Is wait staff mandatory?

    Yes, professional wait staff is required for all events to maintain quality service and hospitality.

  • Can we bring our own caterers or vendors?

    While we provide a curated list of trusted preferred vendors, clients are welcome to bring in their own vendors with prior approval from White Oak 1838 management. Caterers and vendors must have a business license and insurance.

  • Do you offer in-house catering?

    We do not offer in-house catering but can provide a list of trusted preferred vendors.

  • Are there any beverage packages available?

    Yes, we offer customizable beverage options tailored to your event’s size and style. Our team will work with you to create a perfect beverage experience.



Logistics and Setup

  • What is included in the rental fee?

    The rental fee includes setup and teardown of ceremony and reception seating, natural décor, access to bridal, groom suites, and in-law suite.

  • Are tables and chairs included?

    Yes, tables and chairs for both the ceremony and reception are included. 


    We have 26, 6' round tables, 10, 8' rectangular tables, 2, 6' farmhouse tables, 25 oak barrel tables, 14 black and white umbrellas for the outdoor patio and wheel barrow table as well as wooden crossback chairs. 


    For the ceremony we have stunning white resin chairs. 

  • Do you offer any décor?

    We offer a curated selection of décor items available for use by our clients. Options can be viewed during your tour or planning consultation.

  • How far in advance is the venue available for set up and decorating?

    Our event packages include time for set up and decorating. Specific access times will be outlined in your rental agreement based on the package selected.

  • Who is responsible for cleanup?

    White Oak 1838 provides a professional cleaning service. Fees and specifics are outlined in the contractual facilities use agreement. Renters are responsible for removing all items not provided by White Oak 1838 that are brought onto the property personally or by vendors.

  • Are vendors responsible for rental pickup?

    Yes, vendors must pick up all rentals by the end of the event. Late pickups will incur a fee.

  • Do you provide a Day of Event Coordinator?

    Yes, a Day of Event Coordinator is available for an additional fee.



Booking and Payments

  • What do I need to secure my rental?

    To confirm your booking, you must pay a $1,500 security deposit, the first installment, and sign the contract in person.

  • What forms of payment do you accept?

    We accept cash, check, money order, and all major credit cards. Credit cards are subject to a 4% fee.

  • Is the security deposit refundable?

    Yes, it is refundable and issued 14 days after your event, provided all terms are met as outlined in the contractual facilities use agreement.

  • What is the payment schedule for bookings?

    Payments are made in three parts: 35% at signing, 35% six months prior, and 30% three months prior to the event.

  • What is your cancellation policy?

    Cancellations must be submitted in writing and approved by management. Fees may apply, including forfeiture of  retainer fee/ first payment.

  • Can we review a sample contract before booking?

    Yes, a sample contract will be provided following your tour.
